Publishing a longform output
Are you publishing a longform output which falls under the UKRI Open Access Policy? Do not enter any contractual agreement, commit to Open Access, or commit to pay until we have UKRI approval of costs.

The Library Open Research Team manage UKRI Open Access funding. Submitting the application form enables this team to apply to UKRI for funding for your output. You may submit an application at the draft stage of your output but it should be with a specific publisher in mind and with estimated costs.

FAQs
The University will be able to apply to UKRI’s fund on behalf of Ulster Researchers from 28th November 2023.
Stage 1 - From 28th November 2023 research organisations can submit applications for funding.
Stage 1 registers a publication for funding and an application MUST be made by the Research Organisation as opposed to the researcher(s). Ulster authors will be asked to complete a MS Form to register details of each longform publication that falls under the remit of the UKRI Open Access Policy. Each publication MUST be registered before a publishing contract is signed and can be registered at the draft stage. An application for a draft publication should be with a specific publisher in mind and with estimated costs. Research Performance on behalf of Ulster University will make stage 1 applications to UKRI. UKRI processes the application and confirms if the publication is eligible. UKRI aim to respond to stage 1 applications within 10 days. Authors will in turn be made aware of UKRI's decision on eligibility and if the publication is eligible for support, we will confirm that UKRI will reimburse costs for the publication.

Details on how authors can access funds for confirmed publications will be provided as soon as possible.
Stage 2 - From January 2024 research organisations will be able to recover costs for publications that UKRI has agreed to fund.
Payment will be reimbursed to a university budget code after the output has been published. This is Stage 2 of the process. Payment will be made dependent on evidence that the publication is available open access. Details of our internal stage 2 process will be available as soon as possible.
The fund will support a variety of open access publishing models that result in immediate open access with any Creative Commons licence:
- Book processing charges (BPCs)
- Chapter processing charges
- Diamond/non-BPC open access models

You have two choices:
- If the desired publisher's costs are higher than the permitted costs, a claim for the maximum permitted funding can be made and the excess paid via other funding, if you have access to other funding. Please note there are no dedicated funds at Ulster for Open Access publishing.
- You can follow route 2 to meeting the policy by depositing the author’s accepted manuscript in an institutional or subject repository within 12 months of publication of the version of record with a creative commons licence.

Yes for up to six years after the project has ended. UKRI have introduced a seven-year threshold. This means that if a monograph, book chapter, or edited collection is published seven or more years after the formal end of a UKRI funded project, then it will no longer be eligible for support via UKRI’s fund.
If there is a demonstrable link from a UKRI project to a research publication you can apply for funding for the output i.e. you can apply for as many publications as you require.
There is no rationing, if an output is in scope it will get funding.
UKRI recognise that there may be a period of years between a Stage 1 and a Stage 2 application. This is not problematic for obtaining funds.
Yes, you can resubmit if you can more clearly demonstrate a link to the UKRI award.
No, the open access requirement applies to the digital version and the fund is provided to support open access for the digital version. It is not permissible to claim costs for producing print versions.
Funding might not be awarded if the publication ended up being a different type or if wrong information was provided during stage 1.
Yes, they can apply for funds if they choose not to take exemption and go for Gold open access.
