Open Days 2024 Terms and Conditions

1. Open Day Options

  1. Entry to the Ulster University Open Days 2024 (the “2024 Open Days“) will be offered to schools, colleges and other educational institutions (“Institution(s)”), in accordance with these terms and conditions, through the 4 alternative options detailed below.
  2. 2024 Open Day Options:
    • Option one – Belfast and Coleraine
    • Option two – Belfast and Derry~Londonderry
    • Option three – Coleraine and Derry~Londonderry
    • Option four – Belfast, Coleraine and Derry~Londonderry
  3. Option 1 will include reasonable transport costs reimbursed by Ulster University, for return travel from your Institution to our campus in Coleraine.  Transport costs to and from Belfast are not included in this option.
  4. Option 2 will include reasonable transport costs reimbursed by Ulster University, for return travel from your Institution to our campus in Derry~Londonderry. Transport costs to and from Belfast are not included in this option.
  5. Option 3 will include reasonable transport costs reimbursed by Ulster University, for return travel from your Institution to our campuses in Coleraine and Derry~Londonderry.
  6. Option 4 will include reasonable transport costs reimbursed by Ulster University, for return travel from your Institution to our campuses in Coleraine and Derry~Londonderry. Transport costs to and from Belfast are not included in this option.
  7. Options 3 and 4 include a CPD session entitled ‘Empowering Inclusion: Addressing Special Educational Needs Today’, offered at our campus in Coleraine.
  8. Option 4 only includes entry into a prize draw to win £1000 of sports kit/supplies for your Institution.  There will be three winners of £1000 each. Please see prize draw terms and conditions on page 4 of these terms and conditions for further information.

2. Registration

  1. Institutions must register via the Ulster University Open Days email (sent to Institutions in March) OR Ulster University Open Days website and fully complete the registration form for one of the four available options by Friday 28th June 2024 at 17.00 in order to attend the 2024 Open Days (“Registration”). Further information can be found on our Information for Teachers/Guidance Councelors page.
  2. Registrations that are incomplete, delayed or not received by Friday 28 June 2024 at 17:00 may impact upon the ability for your Institution to attend the 2024 Open Days.

3. Confirmation of Attendance

  1. To avail of the offer of reimbursement of reasonable transport costs (as applicable) and prize entry (option 4 only), Institutions must not only complete their Registration but must also confirm their attendance at all 2024 Open Days (relevant to the particular option) by attending each Campus teacher’s seminar (which are to be held on each of the Campus Open Days), or alternatively in the case of Coleraine the CPD session to be held.  You should note your attendance with a member of the Ulster University Market Engagement team (“Attendance”).

4. Maximum Access Numbers

  1. Access to 2024 Open Days will be restricted per campus.  Should maximum numbers be reached, Registration for this date will then close.
  2. The maximum numbers for each campus are set out below:
    • Belfast – 3500 persons per day
    • Coleraine – 2500 persons per day
    • Derry~Londonderry – 2000 persons per day
  3. Access of any persons to the 2024 Open Days is at the sole and absolute discretion of Ulster University whose decision shall be final.

5. Transport and Reimbursement

  1. Reimbursement of reasonable return transport costs from your Institution to our campuses in Coleraine and/or Derry~Londonderry (as applicable per the relevant option) will be offered for the 2024 Open Days, subject to and conditional upon the terms and conditions set out herein.
  2. Reimbursement of return transport costs in order to attend the 2024 Open Day in Belfast is not available. This travel cost is not offered or covered by Ulster University.
  3. When availing of one of the options set out in clause 1 above, transport arrangements should be booked between the attending Institution and their chosen transport supplier and will be subject to the relevant transport supplier’s terms and conditions.
  4. Once Attendance at campuses within the chosen 2024 Open Day options has been confirmed, Institutions will receive further instruction on reimbursement of the relevant transport costs from Ulster University.
  5. Reimbursements will be made within 30 days of receipt of satisfactory proof of payment documentation. Reimbursement will only be for transport outlined in the initial 2024 Open Days Registration and relative to the chosen Open Day Option.
  6. Where a transport supplier requires payment in advance, the Institution will be responsible for this payment, with Ulster University reimbursing the Institution for the reasonable transport costs on the terms set out herein following confirmation of Attendance at all Ulster University Open Days (relevant to the particular option) and on receipt of satisfactory proof of payment.
  7. All claims for reimbursement must be made by Monday 2 December 2024 to your Student Outreach and Recruitment Officer contact.  Claims received by your Student Outreach and Recruitment Officer contact after this date will not be accepted or processed.
  8. The Institution will be required to submit satisfactory documentation to support the claim by them for reimbursement by Ulster University of reasonable return transport costs paid.  This will include a subsidiary payment form, redacted bank statement and invoice.
  9. Institutions should include full details of their chosen transport supplier on the 2024 Open Day registration form, which will be available as detailed in clause 2.1.
  10. Should an educational institution avail of their own transport to attend the Ulster University Campus Open Days (i.e. school owned vehicle/s), reasonable mileage costs will be reimbursed at a rate of 25p per mile.

6. Liability

  1. Ulster University can suggest transport suppliers used previously but accepts no liability for the quality of the services provided and Institutions choose transport suppliers entirely at their own risk.
  2. Ulster University shall have no liability for, and shall not be responsible for payment in relation to:
    1. any delays or cancellations of transport to and from the University:
    2. any incidents that may happen en-route or any damage caused to the transport supplier’s vehicles;
    3. any damage to or loss of personal property or belongings; or
    4. any other additional charges or fees imposed by the chosen transport supplier on the Institution.

    Institutions are advised to carefully review and familiarise themselves with the cancellation policies and associated terms and conditions of the choosen transport supplier.

  3. Save for in respect of:
    1. death or personal injury caused by negligence,
    2. fraud or fraudulent misrepresentation; and
    3. anything else for which liability cannot be legally excluded,

    Ulster University’s total liability to the Institution under these terms and conditions is limited to the price of the transport services to be reimbursed in accordance with these terms and conditions.

7. General

  1. No one other than Ulster University and the Institution who made the Registration shall have any right to enforce any of these terms and conditions.
  2. These terms and conditions, and any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with them, shall be governed by, and construed in accordance with the law of Northern Ireland.
  3. The courts of Northern Ireland shall have exclusive jurisdiction to settle any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with terms and conditions.

Prize Draw Terms and Conditions

1. The Promoter

The promoter is Ulster University (registered with company number RC000726) of Cromore Road, Coleraine, Co. Londonderry BT52 1SA.

2. The Competition

The title of the competition is “Open Day option 4 prize draw”.

3. How to Enter

  1. The competition entry period will run from 08:00 on Friday 22 March 2024 (the "Opening Date") to Friday 28 June 2024 (the "Closing Date") inclusive.
  2. All competition entries must be received by the Promoter (in accordance with clause 3.3) by no later than 17:00 on the Closing Date. All competition entries received after the Closing Date are automatically disqualified.
  3. To enter the competition register your educational institution for Option 4 via the Ulster University Open Days email (sent to schools in March) OR Ulster University Open Days website and fully complete the registration form by the Closing Date (“Registration”). Further information can be found on the Ulster University Open Days website
  4. In order to be added to the prize draw you must confirm your attendance at all Ulster University Open Days (relevant to the particular option) by attending each Campus teacher’s seminar (which are to be held on each of the Campus Open Days), or alternatively in the case of Coleraine the CPD session to be held. Attendance must be noted with a member of the Market Engagement Team (“Attendance”).
  5. No purchase necessary.
  6. The Promoter will not accept:
    1. responsibility for competition entries that are lost, mislaid, damaged or delayed in transit, regardless of cause, including, for example, as a result of any postal failure, equipment failure, technical malfunction, systems, satellite, network, server, computer hardware or software failure of any kind; or
    2. proof of posting or transmission as proof of receipt of entry to the competition.
  7. By submitting a competition entry, you are agreeing to be bound by these terms and conditions.
  8. Three winners will be chosen by random draw, performed by a computer process within 5 days of the last 2024 Ulster University Open Day event taking place.

4. Eligibility

  1. The competition is only open to educational institutions who complete Registration and confirm Attendance at the Ulster University 2024Open Days in accordance with their chosen Open Day option . The competition is not open to:
    1. employees of the Promoter;
    2. employees of agents or suppliers of the Promoter, who are professionally connected with the competition or its administration; or
    3. members of the immediate families or households of (a) and (b) above.
  2. In entering the competition, you confirm that you are eligible to do so and eligible to claim the prize. The Promoter may require you to provide proof that you are eligible to enter the competition. If you are unable to prove your eligibility, you will be disqualified from the competition.
  3. The Promoter will not accept competition entries that are:
    1. automatically generated by computer;
    2. completed by third parties or in bulk;
    3. illegible, have been altered, reconstructed, forged or tampered with;
    4. photocopies and not originals; or
    5. incomplete.
  4. There is a limit of one entry per educational institution.
  5. The Promoter reserves all rights to disqualify you if your conduct is contrary to the spirit or intention of the prize competition.

5. The Prize

  1. The prize is £1000 towards sports equipment for your educational institution, from the sport supplier of your nomination.  There are three prizes of £1000 each available to be won which will be awarded to three individual educational institutions in total.
  2. The Promoter reserves the right to replace the prize with an alternative prize of equal or higher value if circumstances beyond the Promoter's control makes it necessary to do so.
  3. The prize is not negotiable or transferable.
  4. In order to claim the prize you must contact your Student Outreach and Recruitment Officer in accordance with clause 7.1 below.

6. Winners

  1. The decision of the Promoter is final and no correspondence or discussion will be entered into.
  2. The Promoter will contact the winner personally as soon as practicable after the Announcement Date, using the telephone number or email address provided with the competition entry.  The Promoter will not amend any contact information once the competition entry form has been submitted.
  3. The Promoter must either publish or make available information that indicates that a valid award took place.  To comply with this obligation the Promoter will report the winners onto its Facebook and Instagram accounts within one month after the Closing Date of the competition (“Announcement Date “).
  4. If you object to any or all of your winning entry being published or made available, please contact the Promoter at study@ulster.ac.uk .  In such circumstances, the Promoter must still provide the information and winning entry to the Advertising Standards Authority on request.

7. Claiming the Prize

  1. The winning educational institutions should inform their Student Outreach and Recruitment Officer of their chosen sports supplier (the “Supplier”) and the sports equipment they wish to claim as their prize.  Payment for that sports equipment will take place directly between Ulster University and the Supplier.
  2. Delivery of the sports equipment will take place directly between the Supplier and the winning educational institutions.
  3. The prize may not be claimed by a third party on your behalf.
  4. The Promoter will make all reasonable efforts to contact the winner.  If the winner cannot be contacted or is not available or has not claimed their prize within 90 days of the Announcement Date, the Promoter reserves the right to offer the prize to the next eligible entrant selected from the correct entries that were received before the Closing Date.
  5. The Promoter does not accept any responsibility if you are not able to take up the prize.

8. Limitation of Liability

Insofar as is permitted by law, the Promoter, its agents or distributors will not in any circumstances be responsible or liable to compensate the winner or accept any liability for any loss, damage, personal injury or death occurring as a result of taking up the prize except where it is caused by the negligence of the Promoter, its agents or distributors or that of their employees.  Your statutory rights are not affected.

9. Ownership of Competition Entries and Intellectual Property Rights

  1. The Promoter does not claim any rights of ownership in your competition entry.
  2. You agree that the Promoter may, but is not required to, make your entry available on its website and any other media, whether now known or invented in the future, and in connection with any publicity of the competition.  You agree to grant the Promoter a non-exclusive, worldwide, irrevocable licence, for the full period of any intellectual property rights in the competition entry and any accompanying materials, to use, display, publish, transmit, copy, edit, alter, store, re-format and sub-licence the competition entry.

10. Data Protection and Publicity

The Promoter will only process your personal information as set out in the competition privacy notice.

11. General

  1. If there is any reason to believe that there has been a breach of these terms and conditions, the Promoter may, at its sole discretion, reserve the right to exclude you from participating in the competition.
  2. The Promoter reserves the right to hold void, suspend, cancel, or amend the prize competition where it becomes necessary to do so.
  3. These terms and conditions shall be governed by Northern Irish law, and the parties submit to the non-exclusive jurisdiction of the courts of Northern Ireland.
