Getting started in Office 365

After logging in to Office 365 from the My Email link on the Portal or directly from the link https://portal.office.com/ , the Mail screen is a starting point that has links to various options within the Office 365 suite, such as the Online Apps (Word, Excel, PowerPoint, etc.), which link to your OneDrive for file storage.

Email client access to your email

Please note: you must know your student @ulster.ac.uk email address and your Network password (the same one used for Portal and Student Workstation access). Refer to this page for advice if you do not: Student Passwords

Most modern email clients such as Outlook 2016 will “auto-discover” your mailbox as long as you enter your correct account credentials when attempting to login for the first time. You should use your email address and your network password (as outlined above).

In the event that auto-discovery is not successful and your email client does not support Office 365 direct connectivity, we have also provided instructions below on how to manually configure your Office 365 email account via an IMAP connection.

In summary, the generic IMAP (Incoming mail) and SMTP (Outgoing Mail) settings which you could use in your email client configuration are as shown below:

Server name: outlook.office365.com

Port: 993

Encryption Method: SSL

SMTP

Server name: smtp.office365.com

Port: 587

Encryption Method: TLS

Mobile Phone and Tablet access to your email

Modern iOS and Android devices will “auto-discover” your mailbox if you use the Outlook app (free download from app stores) and you enter your correct account credentials when attempting to login for the first time. You should use your email address and network password (as outlined above).

The generic server name for Office 365 connection is outlook.office365.com

IMPORTANT NOTE: Your device must be screen lock protected (e.g. with a PIN, or passcode) for your University email to be configured correctly. This will safeguard access to your email and all other device content. If your device does not comply with this requirement, it may fail to connect to your mailbox.

Auto-forwarding your Office 365 email to another address

University policy is that all office communications are sent to your Office 365 mailbox, so you should monitor it regularly. If you would rather not directly log into the Office 365 mailbox regularly, then instructions are provided for auto-forwarding your email to an alternative address you may monitor more often.
