Service Description

Staff network accounts are created for all new employees automatically and specific faculty and departmental staff have the ability to create authorised associate accounts with a maximum of 1 year duration.

The A3M System (Application Access & Associate Management) provides automation for many aspects of the creation, provisioning and deprovisioning of associate accounts.

Associate accounts are provisioned with a unique email address and secure, personal network file storage and are centralised in a single staff directory service providing authenticated access to the staff standard desktop service and online resources such as Blackboard Learn, Athens, Library catalogue and the staff Portal. Local services may be accessed remotely on request using the Secure Remote Access Service (SRAS).

Staff accounts are deprovisioned automatically when the People & Culture employment contract end date is reached.

Associate accounts are deprovisioned automatically when the end date on their A3M record is reached, unless it is extended by the Faculty/Departmental Authoriser.

A self-service password reset is available to enable staff and associates to securely reset their University account password 24/7 without contacting the Digital Services IT Service Desk.

Business Process

  • Staff Accounts

    These are created for all new employees via an automated account provisioning process.

    Account details including a staff e-code, email address and one time passcode will be sent to new employees on their arrival by People & Culture. If these details are not received, line managers must contact the Department/Faculty People & Culture resourcing Partner.

  • Associate Accounts

    A staff member may 'sponsor' a person who is not a member of University staff to have an IT account and services for the purposes of the business needs of the University.

    • The Sponsor must request the associate account on behalf of the individual, via their department/ faculty  authoriser. Each Faculty/Department has a number of Authorisers.
    • The authoriser will access the A3M System in order to create and authorise the associate account. Please visit the A3M System web page for more information and login information.
    • Account details and further instructions will be distributed to the associate via their staff sponsor or authoriser who requested or created their account.

  • Staff and associate network accounts, once details are available to A3M are provisioned within one working day. Details are sent via the methods described above.
  • Staff and associate leavers accounts are disabled within one day, when notification is received from A3M.
