Important Changes to your University Office 365 Account

Your University Office 365 account has been modified over summer 2017 as a precursor for future improvements that will provide Single Sign-On to Office 365 and (in later stages) ease of access to other University systems and services, such as Library, Blackboard and IT laboratories.

The switch from your old email address to your new address (and associated OneDrive ) took place on MONDAY 11th SEPTEMBER 2017.

See "Who is affected" section below but note this change does not affect new students registered from 2017 onwards.

Change 1: The Format of your Email Address

Your email address will change as shown below:

Note that ‘email’ is no longer part of the address)

Emails will still be received to the ‘old’ address, and auto-forwarded to your new address. Going forward the format must be used as your primary email address.

Please note: the email address formats on this page such as "" are examples only.

Do not attempt to guess your email address based solely on this example format. If you are not certain of your assigned email address, refer to our guidance on how to retrieve this from your Student Record in Banner.

Change 2: Accessing your Office 365 Account

When you access your Office 365 account (for your email and OneDrive ), you will do so using:

Your University network password that you use to access the Portal and University PCs

( not the Office 365 password currently used to login to email)

Who is affected?

Currently Registered 17/18 Students and Alumni of Academic Year 16/17 only.

Alumni of 15/16 or earlier are not affected by this change. If you graduated during or before Academic Year 15/16, continue to access your email as previously advised using your previously assigned address and your Office 365 password. Any change to this advice will be communicated via the Keep My Email FAQ.

What is affected?

The changes will relate to your Office 365 services such as your University email account, your  OneDrive online storage area and any other Office 365 service you may use. It will also affect the Office 365 user credentials on devices that you have linked to your Office 365 mailbox or the free version of Office that you may have downloaded. Your username and password will need to be updated in the software settings.

Other online University services that you use such as Banner, Blackboard, student IT laboratories and wireless services will remain unchanged. Please see information on Library OpenAthens

What you need to do when the change is confirmed

Microsoft 365 Apps for enterprise

You will need to reactivate your Office 2016 or Mac Office 2013 if they have been downloaded/installed onto one or more personal devices using our Microsoft 365 Apps for enterprise instructions.

If the Office install is not re-activated, applications may change to read-only access.

Review the Digital Services webpage on Microsoft 365 Apps for enterprise for guidance on downloading & installing of Office 2016.

Please use new credentials as shown below:

OneDrive Sharing

Any OneDrive sharing configuration applied previously will need reset after your email address is changed.

OneDrive sharing allows collaboration of files/folders with other students, Ulster University staff and external recipients. Click here for further information

Review any currently shared file/folders in OneDrive other students, staff or external recipients – if required, note down any sharing details applied.

After the changeover, access your OneDrive and re‑apply the sharing configuration.

Redirecting your Office 365 email to personally owned email & recreating Inbox Rules

Any auto-forwarder applied to your email account, will need reset after the email address change.

If you have previously followed Digital Services guidance on redirecting Office 365 email to a personally owned email address then you must reapply the auto-forwarder after the email address change has been undertaken.

Follow the same Digital Services guidance to apply a redirect to a personally owned email address.

Similarly, Inbox Rules are not migrated and you will be required to re-create any rules you may have enabled e.g. to automatically move certain emails to subfolders , based on sender/subject.

Mobile Device – Email Setup

You must change the email address associated with accessing your Office 365 account from a mobile device.

Your new University email address is in the format of:

Any Mobile Device (Windows, IOS, Android) setup to access your University Office 365 must be amended to reflect the change in email address above.

IMPORTANT NOTE: The device will require to be lock protected for University email to be configured correctly, in order to safeguard access to your email.

IMPORTANT! On your first login to Office 365 using the new address format as above, please check to ensure that all your information has been transferred. In particular, please verify your Mail (including Calendar and Contacts) and OneDrive content as early as possible.
