Anyone seeking accommodation on behalf of an EXTERNAL group or individual MUST obtain writte permission from Conference Services before attempting to make arrangements.  In case of doubt contact Conference Services on (028 701 24405). Download Conference Approval Form

  

In order that the best use may be made of limited resources please:

  • remember this is a shared resource,
  • only book rooms when absolutely necessary and meetings are confirmed,
  • during term; book space in Teaching Rooms only if your meeting cannot be accommodated in Meeting Rooms, if necessary by adjusting the date/time of the meeting. (Furniture cannot be reconfigured in a teaching room during term)
  • book the minimum necessary slot for the meeting,
  • ensure bookings are cancelled when meetings are, and rooms are made available to others who need them,
  • if you cancel video conferencing rooms call 23525 to cancel the video conference
  • note that penalties will follow non-use or misuse of booked rooms,
  •   leave the room in the neat and tidy condition you would hope for when entering it.

  I accept 

 At the SMG meeting of 6 December 2010 it was agreed that large events should no longer take place during the busy teaching periods (except possibly Wed or Fri pm by agreement) as these materially affected the operation of our core business.

As a result we advise that we will require formal advance notice on all future internal events where a significant number (over 40) of visitors are expected.  On receipt of the information we will review the core business load and advise on campus capacity to facilitate the event.
