Insurance, staff, students, employers & public liability, travel
The university has a number of insurance policies to cover its activities. The term “University” includes the University of Ulster and the subsidiary companies listed below.

General Points Relating to Insurance.
1. Staff and Students have a duty of care for their personal possessions and University equipment and property.
2. Heads of Departments/Schools have a responsibility to inform the Finance Department
(M Harvey or J Rodgers) of any changes in their area, which give rise either to new risks,
or changes in existing risks.
Claims by Staff and Students.
All claims are prepared by the Finance Department, which should be notified immediately of any circumstance, which may give rise to an insurance claim. It is a condition of insurance policies that a fully completed claim form accompanied by all supporting documentation must be submitted to the insurers within 30 days of the claim arising. This is particularly important in relation to theft claims, which must be supported by a police crime reference number. The supporting documentation should include:-

A detailed description of the incident including those involved and any witnesses.

Invoices, bank statements etc supporting the value of the claim being made.

If required, medical certificates confirming the circumstances.

Driving licence and history if the claim relates to a motoring incident.
Summary of Primary Policy Areas.
A summary of the cover maintained by the University is given below:-
Employers Liability. Indemnity in respect of legal liability for damages and claimants costs and expenses arising out of bodily injury or disease sustained by employees during the period of insurance and arising out of and in the course of employment with the University.
Public and Products Liability. Indemnity in respect of legal liability for loss of or damage to Third Party Property and/or bodily injury or disease to Third Parties arising from the business of the University and happening during the period of insurance including such liability arising out of goods sold or supplied.
Professional Indemnity. Indemnity against:-
(a) Any claim or claims first made during the period of insurance in respect of any civil liability incurred in the course of the University’s business.
(b) Libel and slander committed in good faith.
(c) Reasonable costs and expenses in replacing or restoring documents entrusted to or lodged with the University.

Personal Accident Cover for Lay members of Council, Trustees of University bodies and senior personnel. Accidental bodily injury (including death) sustained whilst attending a meeting, function or engagement which forms part of the duties of a member of council/committee or whilst traveling directly to or from the event.
Directors & Officers Liability. Indemnification of the Directors and Officers of the University against legal liability for damages in respect of claims made against them for any wrongful act committed by them in their respective capacities as Directors and Officers of the University
Medical Malpractice. Indemnity against legal liability for bodily injury, mental injury, illness disease or death of any patient caused by any negligent act, error or omission committed by the University in or about the University’s business or Good Samaritan Acts.
Relates to claims within Great Britain, Northern Ireland, Republic of Ireland, The Channel Islands and The Isle of Man
Motor Vehicles. (includes motor cars, van, minibuses and specialist agricultural machinery). Comprehensive insurance for all such vehicles owned by, hired, leased or lent to the University.
Please note the following points:-
(a). Any vehicle which is hired by the University for a period of 14 days or more has to be logged on the European Union’s Motor Insurance Database. Notification of any such hire must be sent to the Finance Department upon receipt of the vehicle by the University.
(b). Any deletions from or additions to the University’s schedule of owned vehicles must be notified immediately to the Finance Department.
(c). Drivers must be an authorised licensed person aged between 25 and 70 years with a minimum 2 years driving experience and a clean driving licence.
Travel (including medical expenses) Insurance for Staff and Students. This covers medical expenses, cancellation refunds, lost baggage and belongings of staff and students on travel on University business or in connection with their studies. University staff may with broker agreement extend this to cover short holiday breaks in addition to their University business. Non University staff travelling on University of Ulster business can be covered by this policy provided the Finance Department is notified in advance of travel.
These policies are null and void if staff or students are travelling against medical advice or Foreign and Commonwealth advice (www.fco.gov.uk).

Staff should quote Policy number 10607583 and students should quote Policy number 10607584. Cards are available from the Finance Departments giving these details and should be requested in advance of travel.
For staff making applications for visas, confirmation of travel insurance is available by contacting either Mark Harvey or Jackie Rodgers in the Finance Department.
Staff Travel Summary of Cover
Student Travel Summary of Cover
Property Damage and Consequential Loss. Covers damage to University property and contents and loss of income resulting therefrom in the event of fire and other special perils. There is an excess of £20,000.00 on each claim.
All Risks. Indemnity by way of payment or repair, reinstatement or replacement in respect of damage by “all risks” or non-forcible theft of general or specified contents of the University.
This policy also covers Money held in safes. Departments who deal with cash should be aware of the insurance limit on their safes and will be asked to confirm details annually when this policy is being renewed.
Computer Equipment. Covers loss or damage to computer equipment whilst situated or in transit anywhere in the world. There are a number of strict warranties attached to this policy including the prohibition that portable equipment, such as laptops, may not be left in unattended vehicles. An excess of £500 applies to each claim.
Engineering Combined. Sudden and unforeseen damage (including damage to surrounding property). This policy covers the deterioration of stock in fridges and freezers and specifies the maximum value of contents insured (£6000 per unit).
Boats and Diving equipment. These policies cover those items listed as being owned by the University. Departments owning such equipment should ensure these lists are complete.
